How to Recover Deleted Email

 

That was a customer’s question. A valid question because many of us have found ourselves in a similar situation. A member of the organization mistakenly deleted several emails a few days ago. These emails contained very important information and now they urgently need to recover them. The user not only deleted them using the Shift + Delete (Hard Delete) key combination but also eliminated them from the recoverable items folder. So, he left no trace of the emails. 

As you well know, Exchange Online allows us to recover deleted items for up to 30 days. Within that time frame, the element will be kept between two recycle bins where we can recover them. The first level of the recycled bin can be called Deleted Items, which by default keeps the emails for 14 days. After that, they are moved to the second level of recycled bin better known as Recoverable Items.  Then, once the 30 days have passed, the items are purged and can no longer be recovered. 

Now, in the scenario described at the beginning, will it be possible to recover the deleted items if the 30 days that EXO allows me to recover them have not yet passed? 

The answer is Yes. To do this, we must go to the Exchange Online Admin Center, then go to Recipients, select Mailboxes, locate the User’s mailbox, and select the Recover Deleted Items option. 

 

 

In the Recover Deleted Items window, select the Time field to specify the time interval to search. 

 

 

 

Once the items are located, select them and press the Recover Deleted Items button. The items will be restored to the original folder. 

 

 

And thus, through this procedure you will be able to recover the information deleted by a user. Remember that everything will depend on the days on which the information was deleted, and that you have the appropriate administrative permits.  

This situation brought a word to my mind that always appears when something similar happens, Backup! That´s right, if possible, you should always have an information backup solution that maintains a copy of your Microsoft 365 mailbox. A good backup framework and plan goes a long way to keep you safe from this type of situations or worse.
